Our client European Chemicals Agency (ECHA) is looking for an SECRETARY for a fixed term employment relationship. The position is starting 22/04/2019 and will continue until 30/06/2019. The work environment is very international and youthful and the office is located in Helsinki city center. 

General description:

Assisting the Head of Unit NC1 and the unit staff members in the Directorate of Hazard Assessment. Providing general administrative, operational, and secretarial support, including document management, internal communication, organisation of meetings and missions, logistic needs and information provision.

Requirements:

Relevant administrative experience
Advanced knowledge through training and practice of Outlook and MS Office (in particular Excel, Word, PowerPoint).

General description:

Assisting the Head of Unit NC1 and the unit staff members in the Directorate of Hazard Assessment. Providing general administrative, operational, and secretarial support, including document management, internal communication, organisation of meetings and missions, logistic needs and information provision.

Duties:

Keep HoU’s Outlook calendar up to date; meeting arrangement and follow-up.
Keep track of the HR processes and documentation; leave and absence management.
Assist in the preparation of missions of the unit/ directorate staff members and HoU.
Communicate effectively with other Units/ Directorates to enable good co­ operation within the Agency.
Contribute to improved internal information flow between different Units and Directorates within the Agency by the use of various channels and tools (email and letter exchange; follow deadlines; keep eye for detail)
Other support as needed, e.g. provide administrative and logistical support for the organisation of internal and external events, such as meetings, workshops, conferences and public events.
Organise and follow-up meetings, prepare and circulate documentation, and draft minutes.
Assist in welcoming and informing outside visitors.
Handle incoming correspondence, finalise and transmit outgoing correspondence.
Ensure follow-up with respect to deadlines.
Mail registration
Reinforce the unit secretaries’ team in the Directorate of Hazard Assessment.
