We are looking for a proactive Office Coordinator for our international client company for a part-time employment relationship. In this role, you will act as the first point of contact for the client’s employees and guests, offering high-level service while representing the company’s culture and values. The position is preferably starting at the turn of November-December. You will be working in pleasant premises located in Helsinki city center with good transport connections.
Your daily tasks include:
- Greeting and welcoming employees and guests, addressing any questions or concerns while maintaining a high level of service.
- Facility management tasks; ensuring care for meeting spaces and their reservations.
- Coordinate all travel arrangements for employees, including monthly coding and reconciliation for CTA & CMC accounts
- Making supply orders.
- Plan, conduct, and support office-based events as directed by local leadership or the Facility Manager, ensuring they stay within budget constraints.
- Ensure backup instructions for reception duties are updated and train backup staff to ensure service continuity during absences.
- Serve as the first point of contact for local vendors, resolving invoice discrepancies, and coordinating with the Facilities Manager for vendor-related requests.
- Plan, conduct, and support office-based events as directed by local leadership or the Facility Manager, ensuring they stay within budget constraints.
- Generally taking care of cleanliness and comfortability of spaces.

In this job, you will get involved in a variety of tasks, from invoicing to making coffee, and from ordering transportation to organizing events. You enjoy working with people and can communicate fluently in Finnish and English. We also hope that your IT skills are up-to-date. We hope you have at least some experience from diverse assistant tasks or customer service roles as well as a suitable educational background.
We offer you an opportunity to become part of an interesting entertainment and movie industry community with diverse duties. The position is part-time, approximately 22,5 hours per week. Workdays are from Monday to Friday and daily worktime is usually between 8:30 AM to 2:30 PM. The role requires the coordinator to be on-site from Monday to Friday, with no flexibility regarding remote work or alternative scheduling options.
