Executive Assistant to the CEO
YOUR TASKS AND RESPONSIBILITIES
Perform advanced secretarial and administrative support including manage and maintain Executive’s schedules, coordinate appointments, travel and logistic arrangements.
Close and smooth collaboration both with internal and external stakeholders, e.g. global HQ, Nordic organization, political decision makers and other societal stakeholders.
Prepare and arrange meetings and management events including content development, collect and analyze data to prepare reports and documents, create and distribute meeting minutes and prepare presentations.
Monitor and deal with incoming correspondence and documentation.
Support the communication, clarify issues and review operating practices and implement improvements where necessary.
Gather feedback and proactive tracking of action lists and open items.
Reinforce the coordination among department’s needs.
Train and supervise other administrative support functions.
Project management support and coordination of internal and external projects and events.
WHO YOU ARE
Relevant education e.g. in business and 5+ years' experience in an executive assistant role
Strong communication, collaboration and networking skills.
Excellent English and Finnish skills verbally and in writing.
Excellent coordination and organizational as well as project management skills.
Ability to address and resolve administrative problems efficiently.
Customer-oriented, sensitivity to confidential matters.
Flexible, agile and systematic working style.
Digitally savvy and proactively looking for improvements, e.g tools and methods.
Ability to gather and organize complex data and information from multiple sources and parties.
Strong skills in Microsoft Office.
Ability to work well with all levels of internal management and staff, as well as external stakeholders.
