We are looking for an Executive Assistant in permanent employment to support one of our senior leaders. If you are a proactive problem solver, a great communicator with even greater organizational skills, and a team player with an ability to drive administrative processes, you might just be the person we are looking for.
The position
As the Part-Time Executive Assistant, you will play a central coordinating role in supporting the Velo Capital leadership team, at times handing confidential matters. You will work closely with our COO and Fund Manager based in Helsinki / Finland, becoming a key go-to person to support her daily tasks and the practical functioning of the Leadership Team. In your role, you will join an international team based in multiple countries and offices, working and communicating primarily in English.
Your responsibility areas include, but are not limited to:
Administrative tasks
Calendar and inbox management
Travel arrangements
Submission of travel expenses
Maintaining contacts in Outlook
Meeting organization
Coordination of attendance, agendas, materials, presentations, prep time room bookings, meeting memos and follow ups
Close coordination with the Office Support team across geographies and the Office Services / Office Support team in Velo Germany – you will be frequently interacting with colleagues in the Nordics, UK and Germany (in English)
Ownership of selected support processes and recurring meetings
Scheduling and coordinating weekly recurring meetings e.g All Hands meetings and Business Updates
Internal communication – preparing / collating all staff communication on email / in regular update presentations
Driving other internal projects and ad hoc tasks of various size and complexity for the Velo Leadership Team

Velo Capital provides flexible real estate credit solutions to enable ideas and deploy capital to advance the transition to sustainable communities. Velo Capital was established in 2021 with the acquisition of Flins Capital Partners GmbH (“FCP”), a leading German debt advisory specialist. Velo Capital currently advises four funds that are managing approximately €1bn AUM focusing on real estate credit investments in the German and Nordic markets. Velo Capital is in the process of raising capital for the launch of a new credit strategy across Northern Europe, with a focus on green financing and supporting the sustainable transition of urban spaces. Velo Capital today is a team of 27 credit professionals located across Germany and the Nordics.
You will be an integrated part of both the Velo Capital team and our Executive Assistant community. The role is part-time (50% or 20h per week). Your workplace will be our modern and centrally located office in Pohjoisesplanadi.

Qualifications
We expect you to be experienced in an assistant position. You are familiar with Microsoft Office tools, especially Outlook and PowerPoint. You may have completed bachelor’s degree studies in a relevant field. Some commercial and technical savviness is appreciated in the role, and you are motivated to constantly develop your ways of working. Furthermore, you have
Advanced calendar management and prioritization skills
Experience in inbox management, including emails, contacts and meetings
Experience in travel arrangements and events management
Professional communication skills in written and spoken English
Project and/or process management skills: you can take ownership of selected processes (e.g. recurring team calls)
An ability to drive administrative processes and internal projects proactively and independently, taking the ownership of your responsibility area
Efficient and organized working style
Firm but friendly approach to all stakeholders
Business acumen: ability to quickly grasp business priorities and understand action points
An ability to stay organized in a fast-paced environment across a wide range of work streams
An ability to handle confidential material discreetly
A positive team player mindset with a working style that is flexible and solution oriented
