We are looking for an experienced Events & Workplace Experience Coordinator with a hospitality-centric approach for our strategic client, a global tech company located in Espoo. Your responsibilities:
- Welcome and assist guests, visitors, and employees as the first point of contact.
- Maintain a tidy and functional lobby/front-of-house, ensuring five-star service standards.
- Collaborate with workplace teams to ensure smooth operations.
- Support security processes for guest access and employee identification.
- Support workplace projects, space and layout design.
- Plan, organize, and execute meetings and events both within the client's premises and external venues, ensuring the most efficient use of space and budget.
- Act as a local communications lead managing communications, external web pages, and data.
- Collaborate with finance teams to manage tenant invoicing and rent data, ensuring compliance with client processes.
- Monitor the environment and physical setup of event spaces, ensuring everything meets high-quality standards.
- Act as a point of contact for events-related queries and manage the setup and tear down of event spaces.
- Maintain a sound understanding of the latest digital tools and use Microsoft’s workplace technology to enhance the service experience.
- Collect and analyze key site metrics, providing structured data and reports
- Deliver best-in-class customer service by promptly responding to inquiries, resolving issues, and conducting audits to ensure service levels meet or exceed client expectations.
- Build strong relationships with internal and external stakeholders, fostering a collaborative and positive work environment.
Your qualifications:
- Bachelor’s degree preferably in Hospitality Management and equivalent experience in a similar role.
- At least 2-3 years of proven experience in hospitality and services in international corporate settings, preferably with exposure to workplace management, facilities, hotel, reception, events or similar role.
- Strong attention to detail and time management skills, with a customer-first approach.
- Proactive and solution-oriented mindset with a commitment to service excellence.
- Experience in communication, administartion and budgeting
- Ability to collect, analyze, and report data effectively
- Proficiency in MS Office suite and experience with various systems.
- Excellent communication and interpersonal skills, both verbal and written.
- Strong organizational abilities and a talent for prioritization.
- Positive, hands-on attitude with a focus on efficiency and safety.
- Flexibility to adapt to a fast-paced, evolving work environment.
- Fluency in English and Finnish is essential in this role, other languages are considered as an advantage.

This is a fixed-term position until the end of December 2025, with a work schedule of 37.5 hours per week, Monday to Friday. Weekend work and other adjustments to the schedule may occur based on operational needs.
