Construcciones y Auxiliar de Ferrocarriles, S.A., hereinafter CAF, is one of the international market leaders in the design, manufacture, maintenance and supply of equipment and components for rail systems with presence across the globe in all continents and headquarters in Spain. In Finland CAF is supplying new metro units to HKL, the operator of the Helsinki metro system. These new trains run on the Metro West line as well as on the possible extension of Metro West from Matinkylä to Kivenlahti.
We are currently in co-operation with CAF looking for an Administrator/Administrative Assistant to join our team to work for the Helsinki Metro Project. The employment will begin in the end of September or latest at the beginning of October 2018. The position is full time and the employment relationship will be formed to Eilakaisla. The work will be located in the depot of Roihupelto Helsinki.
The Administrator is responsible for supporting the Warranty Manager through efficient and accurate production of documentation using the computer based asset management system, management of material ordering and return as well as other general admin duties (e.g. travel reservations, arranging of courses).

Job functions and responsibilities

  • Reporting to Warranty Manager
  • Updating, monitoring and general administration of the computerized maintenance management system
  • Provide documentation required for the day to day running of the train maintenance organization
  • Check that all completed maintenance documentation is recorded in the maintenance systems and filed for later retrieval
  • Production of weekly and monthly reports based on information from the maintenance management systems
  • Management of material ordering and returns
  • Assist supervisors and engineers with roster planning, organization of training courses, work planning and other administrative duties

To be able to succeed in this position

For you to be able to succeed in this position requires previous work experience in similar administrative duties as well as strong organizational-, communicational- and team working skills. We highly appreciate proactivity and a service-minded attitude. In this role you will work and co-operate in a multicultural and multilingual environment producing the information and service needed. By so we expect you to have fluency in Finnish and English language both orally and written. Spanish language skills are considered as strong advantage in this position. Your IT-skills are up to date and you enjoy working with numbers and different kinds of reports. You are dedicated to create the best value and quality in your work at all times and you are highly self-managed and organized.
